Find, create and update customer contacts on mobile
Search the current business’s customer directory, avoid duplicates, save contact details and reopen the right customer’s work.
Before you start
Confirm the selected business before searching or saving. Contacts appear as Clients inside the app. Office users can create and update contacts when their current access permits; Field users are limited to customers reached through their allocated jobs and cannot create, edit or delete contacts. Deletion additionally requires delete-records permission. A visible action is not permission to use it.
Plan eligibility, business features, permissions and device support still apply. Reading a guide does not grant access.
Step by step
- Open Contacts from the app menu. Search name, email, phone or address before choosing New. Check the customer’s identifying details, not just a familiar display name.
- Read the directory count and use Show more customers when offered. Showing saved copy means only saved customer data is available. Reconnect and refresh before deciding a missing search result means the customer does not exist.
- Open the intended customer to review their contact details and accessible Jobs and Invoices. These lists can be cached or incomplete; open the individual record and refresh before relying on its current balance or status.
- For a genuinely new customer, choose New and enter NAME. Add PHONE, EMAIL and ADDRESS where known. Correct invalid phone or email values, or leave an optional unknown value blank. Check the full address even when a suggestion was offered.
- Choose Save client once and read the response. Saved — will sync when you’re back online and SYNCING mean a pending save. Keep that original action and check Sync centre after reconnecting; do not create another contact because the first response was delayed.
- Reopen the saved customer and verify their details. Edit client opens the same form; make the intended changes and choose Save changes. A customer still syncing cannot be used as a confirmed server customer for Edit or New quote for this client.
- Use New quote for this client only after the customer has synced, then check the preselected customer in the quote builder. Follow the manual quote guide for review and explicit sending; creating a contact does not create or send a quote.
- Call, SMS, Email and Map open the corresponding phone or external app. Review the destination and compose or send deliberately there. Opening a composer is not delivery, a recorded payment or an automatic AllQuote message.
Worked example
An Office user searches a returning customer by phone, opens the existing record and corrects its email instead of creating a duplicate. After sync, they start a quote from that customer and verify the recipient again before sending.
This is an illustrative scenario, not a customer testimonial.
Check the result
Refresh the directory in the correct business, reopen the customer and verify the saved contact details and intended linked work. A contact save is not confirmation that an accounting provider has matched or synchronised that customer.
Limits and troubleshooting
- Search covers the directory available to your current access. A Field user’s missing customer can be an allocation restriction, not a deleted record. If access is lost or a business changes, return to the permitted job or ask the owner to check access; do not duplicate the customer to bypass it.
- Phone and address placeholders may use Australian examples. Enter the customer’s actual local details, including an appropriate international phone prefix where needed. Address suggestions depend on connection and regional support; check the saved text rather than assuming the suggestion proves a deliverable address.
- Book-us-again is a separate explicit action where offered. It needs a usable contact channel and the business’s feature and provider availability. Do not assume AllQuote SMS is enabled in every country; the phone’s SMS composer and a server-sent booking link are different paths.
- Delete client is destructive, not duplicate recovery. It removes the contact, stops that customer’s recurring invoices and ends their service agreements. It also ends their maintenance contracts, cancels unfinished maintenance obligations and revokes shared maintenance documents. Associated jobs, quotes and invoices retain their own document details after the customer link is removed. Deletion does not cancel the business’s AllQuote subscription, erase issued invoices or refund payments. Review the customer’s scheduled work and recurring billing before confirming; verify any queued delete after reconnecting.
